The Testing Coordinator, IHS reports to the Assistant Director, IHS, of Disability Support Services (DSS). Coordinates the University’s Alternative Testing Program administering disability accommodations in a proctored environment. This includes receiving online student requests for exam proctoring, extensive communication with faculty and students to arrange exams and verify details/instructions; coordinating the exam schedules; coordinating the secure collection and return of exams to faculty per their instructions; conversion of exams to alternative formats for students; safeguarding the security of exams and testing materials.

Duties and Responsibilities:

1. Assists in the day-to-day coordination of exams and proctoring for DSS at the IHS campus, ensuring equal access for students with disabilities in compliance with university policy, Section 504 of the Rehabilitation Act, the Americans with Disabilities Act, and the New Jersey Law against Discrimination. Assists with scribing and reading for exams. Coordinates student workers to proctor exams when available and oversees their work. This role will also provide support to the Assistant Director in managing testing accommodations for SHMS and CON at IHS Nutley campus and remotely for some Law School students at the Newark campus.

2. Opens the DSS IHS office early for proctoring and manages independently the exam proctoring. Requires hours outside of 8:45am-4:45pm office hours. The office may need to open as early as 7/7:30am-8:30am multiple days per week depending upon the proctoring schedule, which varies weekly. When opening office earlier, an adjustment to ending time will be scheduled to equal an 8 hour day.

3. Communicates with faculty regarding exam proctoring procedures via email, phone, and texting, filling out alternative testing contracts for class exam details/instructions, and questions that arise from students during exams. Communicates in a timely manner any issues to Assistant Director and/or faculty regarding any exam integrity concerns. Facilitates the timely return of completed exams and exam materials to faculty. Requires strong written and verbal communication skills to professionally handle coordination of exams with faculty members and to problem solve to resolve any issues that arise.

4. Provides outreach to students regarding signing up for exams in a timely manner via sending out reminders periodically. Anticipates peak periods of time and secures additional testing space through reserving extra spaces on campus in 25Live to accommodate larger groups of students during midterms, final exams, and other busy days.

5. Provides administrative support to the Assistant Director for management of accommodations such as researching and securing alternative formats of books, reviewing notetaker notes and paperwork, filing, and other duties as assigned.

Required Qualifications:

The Testing Coordinator IHS will communicate with a variety of individuals including but not limited to: one-on-one, group and/or workshop communication with students, faculty, staff, and university administration. This position may also communicate with individuals and groups from other colleges and universities and professional organizations.

Must be able to manage complex schedules of exams and requirements for DSS Alternative Testing Proctoring. Must be skilled and efficient to manage the workflow of coordinating exams and collaborating with faculty to receive the exam information ahead of proctoring. Must be able to work through a variety of situations that present to the DSS office on a daily basis.

Manages the exam proctoring and scheduling independently. Resolves minor issues that arise in coordinating exams. Supervisor is available to resolve higher level problems.

Desired Qualifications:

Experience working in a DSS office and proctoring exams, preferred.
