The Law School's Office of Finance is responsible for the planning and implementation of the strategies that drive the business operations of the Law School including general accounting, budgeting, and financial reporting.
The Secretary reports to, and works closely with, the Director of Budget and Finance. The overall function of this position is to assist in administering, organizing, and planning functions associated with the school's financial processes and to support all functions associated with fulfilling the Law School’s program effectiveness and strategic plan, with a focus on efficiency and effectiveness .
Duties and Responsibilities:
Fiscal Responsibility - Responsible for matters relating to the bill payment process, familiarity with budgetary codes, orderly collection and compilation of data needed in the preparation of the Law School budget. Prepares special budget reports and profiles for the Director of Budget and Finance as well as department budget managers. Information must be compiled and work accomplished within deadline requirements and requires extensive attention to detail.
Human Resources - Works closely with the University's Department of Human Resources. Prepares new employee paperwork for adjunct faculty (Faculty Activation Forms, I9 verification, Adjunct Pay Forms). Assists with the preparation and submission of Salary Change Forms, Faculty Overload forms, One-time pay forms and Electronic Personnel Action Forms
Procurement - Assists the Director with the following tasks: invoice payment, check requisition generation, travel and expense report preparation, Purchase Order creation, journal entries, IDTs. Must have understanding of the University's Procurement policies and able to provide advice to Law School department leaders
Other - Manage the Law School Faculty travel/research budget; Assist the Director with the management of restricted, agency and grant accounts.
Provide administrative support as needed for various special projects/reports. Other tasks across multiple departments within the Law School as assigned.
Required Qualifications:
Bachelor's Degree; 3-5 years working in higher education, specifically in accounts payable/receivable, and some knowledge of HR procedures. Proficient in the Microsoft Office package, especially Excel.
