The role of the Secretary for the Departments of Athletic Training and Speech Language Pathology is to provide support to the Chair, full-time and adjunct faculty, and students in order to ensure the program's success. This is accomplished through various secretarial activities for the department chair and faculty, assisting current students with registration and daily inquiries, and providing information and guidance to our prospective students. The incumbent also works with the Director of Admissions to ensure all admissions records are accurate.

Duties and Responsibilities:

Key Responsibilities
General office duties: Includes typing, editing and monitoring program documents including accreditation documents, and staff meeting minutes. Also includes electronic filing and record keeping, phone messages, copying, faxing, and monitoring/coordinating requests for campus visits and tours. (~20% of time, but subject to variation)
Communications: Respond to internal and external correspondence, includes answering questions related to the program from prospective students, parents, and current students. Responses are handled in-person, via telephone or e-mail. (~20% of time, but subject to variation)
Coordination of program function: Includes food orders, room assignments, media requests, reservations, and logging department expenditures, assisting with preparation for Graduate Open House, symposium events, and workshops. (~20% of time, but subject to variation)
Assist with financial activities, including invoice preparation, budget tracking, and processing travel reimbursements as well as adjunct and guest lecturer contracts (~20% of time, but subject to variation)
Admissions: Set up and maintain graduate admissions data base, includes updating the state of admissions report on a daily basis and submitting the report weekly to the Director of Admissions. (~20% of time, but subject to variation)

Required Qualifications:

Education
1. High school diploma or GED
2. Vocational or technical training in field related to communications or marketing
3. Associates degree or vocational or technical school degree in field related to communications or marketing

Relevant Work Experience
1-3 years with office management and administrative skills, with concentration in MS Word, Excel, and Access computer software packages.

Knowledge and Skills
1. Clerical/secretarial: Excellent typing (50wpm) and editing skills are required, as well as verbal and written communication skills. Excellent interpersonal skills are necessary for interaction with students, parents, and personnel both within and outside of SHU.
2. Analytical: Must be able to weigh known and supplementing facts, with other considerations, and make decisions accordingly; selecting among standardized practices and procedures.
3. Computer/technical: Proficiency in Microsoft Suite including Excel, Word, One Drive, Sharepoint, MS Teams, MS Forms, MS Powerpoint, as well as Adobe Acrobat.
4. Specialized knowledge or training: The qualified candidate must be well organized, detail oriented, reliable and able to take initiative to work at times without direct supervision.
5. Equipment Operation: Must be able to use all basic office equipment/machinery, i.e. copiers, faxes, phone (with multiple phone lines,) scanners, etc.
6. Written Communications: Must be able to prepare written response, via e-mail or letter correspondence, to prospective student inquiries on a daily basis as well as parents, Department Chair and faculty, all other University personnel, and external contacts. The individual must also be able to prepare marketing and recruiting materials as well as maintain a departmental calendar of events.
7. Oral Communications: Must have excellent oral communication skills, for constant interaction and phone communications with students, prospective students, parents, Department Chair and faculty, all other University personnel, and external contacts.
8. Other: This position processes 60-70 applications a year, and handles a relatively high volume of calls and/or student inquiries. Candidate must be able to handle a seasonally fast-paced environment. The scheduling of interviews for all prospective students as required, is also handled at this time-- in addition to all other aforementioned responsibilities.

$26.781 per hour
