The Director of Operations provides primary administrative support to the Assistant Vice President & Dean for the Center of Academic Success and corresponding units (Center of Academic Success, The Office of Academic Support for Student-Athletes, Academic Resource Center, ROTC, Career Center, the Transfer Center) as needed. The position will advise, support, assist, coordinate and collaborate on initiatives for the AVP, coordinate the translation of initiatives and plans into action, and represent the interests and priorities of the AVP’s office through the integration of objectives. The position includes preparing paperwork for the staff, administrators, guest instructors, and GA's according to the budget format from the provost's office and will oversee and maintain the fiscal year budget for the Center for Academic Success.

Duties and Responsibilities:

• Provide administrative support to the Assistant Vice President & Dean for the Center of Academic Success, including but not limited to hiring processes and procedures, calendaring, inventory, budgets, and procurement.
• Provide leadership, planning, ongoing organizational assessment, and oversight of the day-to-day operations of the departments headed by the AVP/Dean.
• Manage day-to-day operations of Academic Success areas including maintaining, tracking and analyzing data reports (Banner, Cognos, EAB Navigate).
• Manage and maintain the fiscal year budget for the Center for Academic Success. Responsible for maintaining the accuracy of the budgets and their underlying accounts. Regularly review the restricted and endowment accounts. Ensure that expenditures are within budget expectations.
• Prepare all Salary Authorization forms for Guest Instructors, Administrators and Staff as needed. Prepare Payment Authorization payment form for guest instructors each semester.
• Prepare all One-Time Payment forms. Prepare a contract letter, award notice and a salary authorization form for approximately 4 GA's each semester.
• Pay all the bills for the Center for Academic Success. This consists of paying all the outside vendor invoices, reimbursing administrators for expenses incurred, meetings, and conferences. Interdepartmental payments are also prepared by completing IDT forms.
• Review and approve all unit Transaction Allocation Reports
• Oversee Peer Advisor program. Supervise 65 student workers. Manage daily assignments and projects for the student workers. Be the primary point of contact between collaborative departments.
o Maintain updated communication with Dean and Assistant Dean about the program and act as a liaison between Administration and Peer Advisor Supervisors
• Oversee the Social Media Team and content.
• Be the point of contact for AVP units regarding student worker hiring processes.
o Assist all AVP units with posting and onboarding for student workers, troubleshooting issues, and maintaining communication with Student Employment/Financial Aid.
• Process timesheets for Center for Academic Success staff and student workers on a bi-weekly basis. This consists of frequent interaction and communication with student workers regarding questions, problems, reports assigned by the Dean's office and faculty projects.
• Prepare all administrator contracts with the dean. Complete the onboarding process for all Administrators, GA’s and student workers under the AVP/Dean division. Coordinator for new administrators and new GA's. Arrange for new staff to have office space, laptop, parking, email, and software access.
• Responsible for ensuring that approximately 20 offices in Mooney Hall are properly maintained. Complete work orders for all needed repairs, including lights, bathrooms, heat, air conditioning, replacing ceiling tiles, making keys for offices, hanging pictures/diplomas in offices. Work with housekeeping for additional office and carpet cleaning.
• Assist all AVP units with supervising large projects such as the renovation of offices and moving requests.

Required Qualifications:

Bachelor's Degree
3-5 years experience in office operations

Desired Qualifications:

Master's Degree
Experience in teaching desired

AD170 - Administrative

Exempt/Nonexempt: Nonexempt

Physical Demands: General Office Environment
