Assistant Director for Housing Operations

As a member of the central management team, the Assistant Director works collaboratively to support the strategic goals of the department. They are responsible for administration of University housing operations including but not limited to control and management of room inventory, assignments, meal plans, billing and the accuracy of data between the student housing database and the University student information system (Banner). They coordinate and collaborate with Enrollment Services, Card Access, Athletics, and Facilities in fulfillment of their duties. They also manage the Damage Billing system. The Assistant Director manages associated vendor contracts. They are responsible for hiring, training, and supervising the department’s Desk Assistants. The Assistant Director develops and implements the marketing plan for the department including updates to web and social media, creating and modifying video and written publications. The Assistant Director supervises the Housing Operations Coordinator who also oversees summer and conference housing. The Assistant Director also serves in the department’s Senior Staff on-call rotation.

Duties and Responsibilities:

Technology and Database Management and Reporting
• Serve as system administrator for the department’s software system
• Prepare rate tables and proration schedules each semester for on campus halls, off campus halls, seminary halls, and meal plans
• Provide reports are requested by VP, AVP, and Residence Life staff members
• Ensure data in department software system transfer to Banner and Blackboard during main import and daily synchronizations
• Work in conjunction with Web Development team to set-up and oversee Housing Application and Room Selection processes in department software system and Housing Module on PirateNet
• Oversee importing and records of information as it pertains to student and room attributes in department software system
• Assure accuracy of housing occupancy, room inventory, and revenue projection reports

Hiring and Supervision
• Responsible for hiring, training, and supervision of the Housing Operations Coordinator. The Coordinator is responsible for assisting the Assistant Director in all areas and for overseeing summer housing and Conference Operations
• Responsible for hiring, training, and scheduling of department’s Desk Assistants

Marketing, Publications & Web development
• Develop and implement comprehensive marketing strategy to maximize residence hall occupancy
• Yearly review and update of housing application by providing expectations and feedback to marketing and technology teams. Update policy brochures, services, forms, both online and paper versions
• Integrate video software to provide demonstrations of Housing processes
• Management of Commonspot website information to be sure it is correct and up to date
• Creation of new forms and publications
• Collaborate with other University entities such as Athletics, Health Services, Mailroom, Center for Academic Success, etc to market and promote our programs
• Utilize social network sites to promote Residence Life experience as part of Freshmen Yield
• Respond to students in person and through department email account
• Serve as a resource to parents, communicating proactively and responding to inquiries

Develop and implement individual and group Damage Billing system
• Work collaboratively with Finance to design damage billing system
• Implement and oversee damage billing system

Management of vendor contracts associated with Operations including but not limited to:
• Storage Scholars
• Micro-Fridge
• Dormify

Participation in departmental wide initiatives such as policy development, goal implementation and strategic planning, including leadership of a departmental task team annually
• Review housing services related processes and policies and manage change
• Lead planning of the Housing Services annual calendar to align with university billing calendar
• Serve on Central duty rotation
• Other duties as assigned



Required Qualifications:

Master's Degree in Student Personnel, Business, or Information Systems
1-5 Years Residence Life and occupancy management experience
