JOB SUMMARY
|
The Student Office Assistant provides administrative, operational, and data support to the College of Arts and Sciences. Working under the supervision of the Senior Director of College Operations, the student will assist with maintaining records, organizing information, tracking operational activities, and supporting routine office processes.
This position offers students practical experience with office operations, data management, process improvement, and administrative systems in a professional higher education environment. The ideal candidate is organized, dependable, comfortable working with technology, and attentive to detail.
Students in this position will have the opportunity to develop practical skills in administrative operations, data organization, spreadsheet management, process documentation, project support, and professional communication. Depending on experience and departmental needs, students may also gain exposure to workflow automation, data visualization, reporting, and other technology-enabled business processes.

DUTIES & RESPONSIBILITIES

- Assist with data entry, data cleanup, and maintenance of spreadsheets, trackers, and administrative records.
- Review information for completeness and identify missing or inconsistent data for staff follow-up.
- Update internal tracking documents related to College operations, projects, inventory, purchasing, facilities, and other administrative activities.
- Assist with organizing electronic files and maintaining shared folders and document management systems.
- Prepare basic spreadsheets, reports, lists, and summaries using Microsoft Excel and other approved systems.
- Assist with inventory tracking and organization of College supplies, equipment, and materials.
- Support routine administrative processes, including scanning, filing, copying, document preparation, and mail distribution.
- Assist with special projects, events, and operational initiatives as assigned.
- Provide general administrative and operational support to College staff as needed.

REQUIRED QUALIFICATIONS
|
- Current Seton Hall University student who meets eligibility requirements for Federal Work-Study employment.
- Strong organizational skills and attention to detail.
- Basic proficiency with Microsoft Word, Excel, Outlook, and other common office technology.
- Ability to enter and organize information accurately.
- Ability to follow established procedures and ask questions when clarification is needed.
- Dependable, punctual, and able to manage assigned tasks with appropriate supervision.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and appropriately handle sensitive University information. Interest in business operations, data management, technology, project management, or higher education administration is preferred but not required.
