This position assists members of the university development major gifts team with staff support needs and administrative responsibilities. Secretary works collaboratively, proactively, and in a professional, service-oriented manner with all university advancement staff and academic partners to further all the university's philanthropic goals.
Duties and Responsibilities:
1) Provide secretarial support to assigned team members by answering phones, reviewing and sorting incoming correspondence, preparing outgoing mail, maintaining files, typing correspondence, updating daily calendars and providing specific project support, such as maintaining appropriate electronic documentation in Raiser's Edge and other systems on a timely basis, including but not limited to engagement activities, proposal tracking, contact reports, gift transmittals. stewardship and donor acknowledgments.
2. Schedule meetings both in person and virtual, notify participants, secure locations and audio video equipment and make all other arrangements as required. Prepare, and distribute in advance, agendas and briefings; attend, if requested, to take minutes and distribute.
3. Enter and compile data for basic statistical and other computer reports, such as contact reports, using the constituent database (currently Raisers Edge) and Microsoft Office software. Learns and becomes proficient within the constituent database, creates queries and runs reports with gift detail and prospect information, maintaining spreadsheets as requested.
4. Prepare check requests, credit card statements, expense reports and other forms in an accurate and timely fashion. Maintain office supplies inventory. Coordinate maintenance of office equipment such as copier machines, printers, etc.
5. Oversee travel arrangements for assigned team members. Prepare itineraries, and information packets as needed for visits, and events, in person and virtual. Provide on-site support for events, as requested.
Required Qualifications:
High School Diploma or GED required prior secretarial/administrative support function reporting to multiple managers in a professional environment, preferably nonprofit or higher education. Experience using a relational database (such as Raiser's Edge or similar).
Desired Qualifications:
Bachelor's preferred.

General Office Environment. Must be able to lift 25lbs.
