The International Programs Assistant will be the first point of contact for the Office of International Programs and deliver excellent customer service by answering queries and giving up to date information. This position will provide professional administrative support to individuals seeking assistance from the office as well as the office staff. This position will also serve as a Designated School Official (DSO) and Alternate Responsible Officer (ARO) and will process data in SEVIS for F1 and J1 records.

Duties and Responsibilities:

  • Act as the first point of contact for the office by dealing with a wide range of customers including, students, parents, professors, university employees and government officials.
  • Provide high quality, responsive, efficient customer service and deal with inquiries professionally and to a high standard.
  • Apply knowledge of F1 and J1 visa regulations, as well as study abroad procedures, in order to handle a variety of inquiries.
  • Answer inquiries via office email, phone and walk-ins
  • Schedule appointments and maintain office calendar
  • Maintain accurate contact lists for email blasts
  • Serve as a Designated School Official (DSO) on behalf of U.S. Department of Homeland Security and an Alternate Responsible Officer (ARO) to the U.S. Department of State.
  • Create forms I-20 and DS-2019, process edits to SEVIS records including, personal and program information updates, registration, travel signatures, transferring records, etc.
    Manages the hiring and onboarding process for graduate assistants and student workers
  • Creates and updates student work schedules, ensure time off is reflected in calendar. Order office supplies, stationary and business cards and food for events
  • Create and update forms
  • Pays invoices and processes procurement forms as needed, check requests, IDTs etc
  • Settle office credit card statement in the Director's absence

Required Qualifications:

  • U.S. citizen/U.S. permanent residency and periodic background checks are required to be DSO/ARO.
  • 1-3 years experience in an administrative position required, preferably in a setting working with international and/or study abroad students, international programs or university office
  • Ability to simultaneously work on projects, often with interruption.
  • Pleasant and professional demeanor
  • Patient with non-native English speakers
  • Proficient in Microsoft Office
  • Ability to attend occasional events outside of normal business hours

Desired Qualifications:

  • Bachelor's degree in International relations, area studies, foreign languages or other relevant field
  • Prior experience as a DSO/ARO or knowledge of F1/J1 visa regulations preferred
  • Previous experience working with SEVIS, Banner, ISSM softwares desirable
  • Foreign language skills desirable (Mandarin, Arabic, French or Spanish)
