Grants and Restricted Fund Accountant

The Grants and Restricted Fund Accountant position supports the Director in the post-award administration of both grants and restricted funds. The position will assist in the fiscal year-end closing and audit as well as prepare and submit reporting to external funding agencies. As needed, the position will interact with deans, department chairs, principal investigators, and departmental business administrators. Performs general accounting and administrative functions related to University's grants and contracts and restricted funds.

Duties and Responsibilities:

  • Maintains the time and effort reporting system for grants.  This position will work towards implementing a new time and effort reporting system using the Banner time and effort module.
  • Reviews and reconciles monthly closing reports for accuracy and makes journal entries as needed to correct any errors.  Monitors detail transaction activity of funds to ensure proper allocation of expenses.
  • Performs federal draw-downs and monitors all payments to grants and restricted funds.  Establishes and maintains computer-based draw-down/payment tracking system for all funds.  The establishment of this system will improve accuracy of records and will assist us in providing electronic records during our annual Uniform Guidance Audit.  Works closely with Treasury Supervisor to ensure proper allocation of ACH payments.
  • Assists Director in monitoring the proper allocation of fringe benefits, indirect costs, and cost sharing.  Monitors and tracks PHAREDS labor re-distributions and prepares analysis to track University budget relief.  Assists with new restricted fund creation. 
  • Approves non-salary expenses and monitors fund balances.  Contacts responsible person(s) to resolve deficits.  Ensures that grant and restricted funds are expended in compliance with grantor agency regulations and donors' restrictions.  Prepares journal entries and cash receipt and disbursement entries.  Prepares internal and external reports.
  • Assists Director in monitoring the proper allocation of fringe benefits, indirect costs, and cost sharing.  Monitors and tracks PHAREDS labor re-distributions and prepares analysis to track University budget relief.  Assists with new restricted fund creation.
  • Performs other duties/projects as assigned by the Director of Grants and Restricted Funds.  

Required Qualifications:

  • Bachelor's Degree and a minimum of 3 years experience in accounting.
  • Excellent written and oral communication skills.

Desired Qualifications:

  • Knowledge of grants and restricted funds and fund accounting.
  • Knowledge of Microsoft Office and Banner Finance.
  • Ability to analyze funds for accuracy.
